OJT records in inspection order Published Aug. 13, 2009 By Airman 1st Class Adawn Kelsey 82nd Training Wing Public Affairs SHEPPARD AIR FORCE BASE, Texas -- With the Unit Compliance Inspection coming up in January, it is important that Sheppard is 100 percent ready for it. On-the-job-training records are a part of the UCI and must be updated and current. "Think of OJT records as your 'professional licensure,'" said Tech. Sgt. Gregory Butcher, 882nd Training Group unit training manager. "These records are the license for an Air Force medic to practice medicine, or an Air Force electrician to work on electrical circuits." He said records should be updated every time something is trained, started or completed. He said if something hasn't been documented, it didn't happen. Master Sgt. Demond Peterson, 82nd TRG UTM, said OJT records are the only source the military has to prove an individual is qualified to perform their job. "From a training perspective, it is a valuable source document. It documents all the training that a person will do from the day they enter the military to the day that they separate or retire," Sergeant Peterson said. In accordance with Air Force Instruction 36-2201, Vol. 3, the member and supervisor must document monthly progress if in upgrade training to earn of higher skill level. The AFI also states that the records should be updated periodically, leaving the statement up to individual interpretation. "What periodical might mean to you doesn't necessarily mean that it will mean the same thing to me," Sergeant Peterson said. For example, Sergeant Peterson said an instructor here at Sheppard who is of a higher skill level might only need to update their OJT records once a month. However, someone who is still training and trying to earn a higher skill level may need to update their records weekly. "What I suggest, as a UTM, is that the squadron commanders produce a policy that will dictate when supervisors will update the training records," he said. Sergeant Peterson also talked about the online records the Air Force created a couple of years ago. "The online system makes the records more accessible. It's a lot faster to get on the computer and check the records instead of having to go down to the squadron and checking the paper version," he said. "I want to encourage people to not be afraid of the automated system." Sergeant Butcher gave some pointers on how to make sure OJT records are UCI ready: · Inspect training records and those of subordinates by using the Air Force training record and training business area (websites are listed at the bottom of the page) and individual training record checklists on the applicable communities of practice. · Things to look for in the OJT records on the training business area website are the things with the "red" system flag, meaning that item is pending a signature. · Look for members not being assigned or being transferred from the last base and contact the UTM to fix it if there are any problems. · Look for missing start dates, completion dates, missing trainee initials, missing trainer and certifier initials where applicable (some career fields still have certifiers, reference career field education training plan) · Look for journal entries; make sure there are entries showing career development course progress and task progress. · Look at all tabs in the training records and ensure that trainers and supervisors are assigned, ensure CDC information is transcribed and all formal training is transcribed. · Transcribe the entire paper record, not just your duty position tasks. · Ensure each work center has a master training plan and master task list that: Identifies all day to day tasks, includes core tasks associated with the work center and deployment and wartime tasks. Identifies milestones for all tasks in each tab of the MTP. Include who, what, when and how in the MTP. Include who will train the task, how will it be evaluated, when (milestone), what is to be trained in the MTL.
